How we use your data
This privacy statement explains the personal data Reason Digital collects and processes, how we process it and for what purpose. Please read the details below which provide additional relevant information. This statement applies to the interactions Reason Digital has with you using the mrethods listed below, as well as other methods that display or link to this statement.
Visitors to our website
When someone visits www.reasondigital.com we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information does not identify anyone and we don’t use any method that would allow ourselves or Google to work out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

People who email us
For individual emails we use the third party service, Outlook, as part of Office 365 and as with most email services this comes with a level of risk. By default, personal data is encrypted in Exchange online, OneDrive for Business, Sharepoint Online and Skype for Business and Exchange Online uses transport Layer Security (TLS) to encrypt communications between Office 365 and Exchange Online servers and between Exchange Online customers. We will also monitor any emails sent to us, including file attachments, for viruses or malicious software. Please be aware that you have a responsibility to ensure that any email you send is within the bounds of the law.
People who call us
We use a third party service, 3CX, for receiving and handling calls, there is no recording used with this service.
People who attend our events
Reason Digital Events
If we organise an event you will be a ‘customer’ of Reason Digital so we will process your data on a contractual basis meaning we will contact and update you about the event you are attending to ensure we provide the best experience. Following the event your data may then be used under Legitimate Interests as per GDPR, to inform you of other related information, services or events.
We will request consent for any communications which are not related to the event you attend or the topics involved. Consent is requested during the signup process and requires you to opt-in to these communications.
Reason Digital Lead
For events operated in partnership with other other organisations where Reason Digital is the leading partner, you will be a customer of all parties involved. All parties will process your information on a contractual basis meaning we or our partners will contact and update you about the event you are attending to ensure we provide the best experience. Following the event your data may then be used by Reason Digital and our partners under Legitimate Interests as per GDPR, to inform you of other information, services or events which are related to the event you attended and the topics which were included.
We will request consent for ourselves and our partners separately, for any ongoing communications which are not related to the event you attend or the topics involved. Consent is requested during the signup process and requires you to opt-in to these communications.

People who contact us via social media
We use a third party provider, Hootsuite to manage our social media interactions.
If you send us a private or direct message via social media the message will be stored by Hootsuite for three months. It will not be shared with any other organisations.

- Rights in relation to automated decision making and profiling
This privacy notice acts as our method for keeping you informed, along with updates delivered via email when required. You will also find information on how you can access, change or delete your information. At this time we do not use any automated decision making or profiling so you will find no information on this.

Access or changes to personal information
You have the right under GDPR to request a copy of your data which we hold, the rectification of that data and the erasure of that data. If you would like to request any of these actions please contact us on email@example.com.
In the event that we discover or suspect a data breach we will notify you as soon as we are able to provide sufficient information as to the nature and extent of the breach. The notice will include, where available at the time of sending, the following:
- The dates and times of the security event
- The details of the event including:
- A description of the data involved in the event
- The facts of the event or details of the decision to investigate a suspected event
- The steps we are taking or planning to take to remedy or mitigate the vulnerability.
