How we use your data

The following provides all that information as it currently stands and details the various ways in which we may interact with you. You also have the right to access, edit and delete this information should you so choose so we’ve included that here.

Visitors to our website

Hosting

Our website is built using WordPress and we use a third party service, WP Engine, to host our website. As is true of most websites, we gather certain information automatically through your use of the Site. This information may include Internet protocol (IP) addresses, browser type, Internet service provider (ISP), referring or exit pages, the files viewed on the Site (e.g., HTML pages, graphics, etc.), operating system, date/time stamp, and clickstream data to analyze trends in the aggregate and administer the site, this data is saved into server logs. Google Analytics

When someone visits www.reasondigital.com we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information does not identify anyone and we don’t use any method that would allow ourselves or Google to work out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

E-Newsletter

Consenting to our e-newsletter is done by completing the newsletter signup form found in the footer of every page of this site.

We use a third party provider, Mailchimp, to deliver our e-newsletters and to manage our mailing list. Through this service we gather statistics about actions such as email opens and clicks using industry standard technologies to help us review and improve our emails. Mailchimp are based in the US and are certified under the EU-US Privacy Shield Framework to ensure security of all data.  For more information on Mailchimp please see their privacy policy.

Online reporting tools

Hotjar

Hotjar is a third party tool which we use to provide more detailed user interaction information in order to analyse the use of our website and develop a better experience. The tracking consists of heatmaps which show the areas users have viewed on our pages and user recordings so we can see specific actions taken on the site. We also use form analytics, which does not record any data from entries but allows us to assess which fields are used and which are not. For more information, please see the Hotjar privacy policy.

If you’d like to opt-out of this tracking Hotjar allows you to do this by simply clicking a button.

People who email us

For individual emails we use the third party service, Outlook, as part of Office 365 and as with most email services this comes with a level of risk. By default, personal data is encrypted in Exchange online, OneDrive for Business, Sharepoint Online and Skype for Business and Exchange Online uses transport Layer Security (TLS) to encrypt communications between Office 365 and Exchange Online servers and between Exchange Online customers. We will also monitor any emails sent to us, including file attachments, for viruses or malicious software. Please be aware that you have a responsibility to ensure that any email you send is within the bounds of the law.

People who call us

We use a third party service, 3CX, for receiving and handling calls, there is no recording used with this service.

People who attend our events

Reason Digital Events

If we organise an event you will be a ‘customer’ of Reason Digital so we will process your data on a contractual basis meaning we will contact and update you about the event you are attending to ensure we provide the best experience. Following the event your data may then be used under Legitimate Interests as per GDPR, to inform you of other related information, services or events.

We will request consent for any communications which are not related to the event you attend or the topics involved. Consent is requested during the signup process and requires you to opt-in to these communications.

Partner Events

Reason Digital Lead

For events operated in partnership with other other organisations where Reason Digital is the leading partner, you will be a customer of all parties involved. All parties will process your information on a contractual basis meaning we or our partners will contact and update you about the event you are attending to ensure we provide the best experience. Following the event your data may then be used by Reason Digital and our partners under Legitimate Interests as per GDPR, to inform you of other information, services or events which are related to the event you attended and the topics which were included.

We will request consent for ourselves and our partners separately, for any ongoing communications which are not related to the event you attend or the topics involved. Consent is requested during the signup process and requires you to opt-in to these communications.

Partner lead

For events operated in partnership with other organisations where Reason Digital is not the leading partner, you will be a customer of all parties involved. All parties will process your information on a contractual basis meaning we or our partners will contact and update you about the event you are attending to ensure we provide the best experience. Following the event your data may then be used by Reason Digital and our partners under Legitimate Interests as per GDPR, to inform you of other information, services or events which are related to the event you attended and the topics which were included.

People who contact us via social media

We use a third party provider, Hootsuite to manage our social media interactions.

If you send us a private or direct message via social media the message will be stored by Hootsuite for three months. It will not be shared with any other organisations.

Sales contacts

We use a third party service, Pipedrive, as a sales management tool to help us monitor the progress of initial client contacts and sales. When we receive communication about new clients or projects either via email, phone or from the website, we added all information into Pipedrive. Pipedrive are based in the US but our data is located in an EU data centre, they are also certified under the EU-US Privacy Shield Framework to ensure security of all data. Your rights

GDPR outlines the following rights for the individual:

  • The right to be informed
  • The right to access a copy of their personal data
  • The right of rectification
  • The right of erasure
  • The right to restrict processing
  • The right to data portability
  • The right to object
  • Rights in relation to automated decision making and profiling

This privacy notice acts as our method for keeping you informed, along with updates delivered via email when required. You will also find information on how you can access, change or delete your information. At this time we do not use any automated decision making or profiling so you will find no information on this.

Access or changes to personal information

You have the right under GDPR to request a copy of your data which we hold, the rectification of that data and the erasure of that data. If you would like to request any of these actions please contact us on admin@reasondigital.com.

Security breaches

In the event that we discover or suspect a data breach we will notify you as soon as we are able to provide sufficient information as to the nature and extent of the breach. The notice will include, where available at the time of sending, the following:

  • The dates and times of the security event
  • The details of the event including:
    • A description of the data involved in the event
    • The facts of the event or details of the decision to investigate a suspected event
  • The steps we are taking or planning to take to remedy or mitigate the vulnerability.
